This Privacy Policy explains how BillerBay Corporation (“BillerBay”, “we”, “us”) collects, uses and protects information when you visit www.billerbay.com or contact us. It does not govern protected health information (PHI) we handle for clients. That is governed by the Business Associate Agreement (BAA) between BillerBay and each client, and by HIPAA and HITECH.

Information we collect

  • Information you give us: your name, work email, organization name, the topic you choose, your preferred contact method, phone number if you ask for a call, any optional organization details (organization type, approximate provider count, current systems) and an optional short note when you submit our request form, call or email us. We also record the page the request was sent from and the general topic you came from, so the right person can respond.
  • Invoice help: if you email our accounts team about a BillerBay service invoice, we receive what you send. Please do not send payment card details by email.
  • Usage information: pages visited, referring site, device and browser type, and similar data collected through cookies and similar technologies, described below.

Cookies, analytics & advertising

We use Google Analytics to understand how visitors use this website, and the Meta Pixel to measure the results of our advertising and show relevant ads on Meta platforms (Facebook and Instagram). These services may set cookies and collect information such as your IP address, browser details, the pages you view and whether a request was submitted. They don’t receive your name, email, phone number, organization or the contents of your note.

These tools only run if you choose “Accept” in the cookie notice. If you decline, or haven’t chosen yet, they aren’t loaded. You can change your choice at any time with the “Cookie settings” link at the bottom of every page.

We don’t use these tools on our invoice and patient billing help pages. You can opt out of Google Analytics with Google’s browser add-on, manage Meta ad preferences in your Meta account settings, or block cookies in your browser settings.

The site also stores your cookie choice in your browser’s local storage so we don’t ask again.

  • To process invoice payments and send receipts
  • To operate, secure and improve this website
  • To meet legal, accounting and regulatory obligations

We do not sell or rent personal information.

Please don’t send PHI through this website

Our request form is not intended for patient information. Please do not include patient information, claim documents, passwords, or payment card details. Clients should share documents through BillerBay Exchange or the channel agreed with their BillerBay team.

Sharing

We share information only with service providers that help us run this website and our business (for example hosting, email delivery and payment processing), under obligations to protect it, or when required by law.

Retention & security

We keep inquiry records only as long as needed for the purposes above or as required by law. This website is served over HTTPS, and access to inquiry records is limited to the people who need them.

Your choices & rights

You can ask us to access, correct or delete personal information we hold about you, or opt out of marketing email at any time. Depending on where you live (for example California), you may have additional rights. We will not discriminate against you for exercising them.

Children

This website is intended for healthcare professionals and businesses and is not directed to children under 13.

Changes

We may update this policy from time to time. The “last updated” date above shows when it last changed.
